A well-run architectural review process is one of the most important tools for maintaining a high community aesthetic and maximizing home values. This is achieved by a detail-oriented HOA architectural board that works to ensure that all homeowners’ renovations, additions, and modifications are consistent with the community's architectural guidelines and other governing documents. However, many associations struggle to implement a process that is both efficient and clear for their members to understand.
The architectural review committee, or ARC, is responsible for reviewing all of the applications for modification and additions to homes or yards within the association. This includes changes in paint color, pools, exterior buildings such as storage sheds, and other common projects. The ARC will recommend whether or not the project should be approved to the Board of Directors.
To help move applications through the review process efficiently, it’s crucial to collect the right information upfront. An online hoa architectural review request form should include questions about the project's location on the property, the proposed change, and a list of any documentation that must be submitted to the ARC. It’s also a good idea to include checkboxes for things like permit required, deed restrictions, before and [proposed] after photos, and fence removal, which can quickly indicate whether the change will be permitted.
Once the ARC has received the application and any necessary documentation, they should then review it to make sure the change is consistent with the community’s governing documents. Once a decision has been made, the ARC should notify the homeowner of either the approval or rejection of their request in a timely manner.
